Over the next month I will be attending a number of conferences and this has me reflecting on the various types of interactions we all navigate at these events. Whether you're a seasoned pro or a first-time attendee, understanding the nuances of different conference settings can make a world of difference in how you connect and the value you derive from these gatherings. Here's my personal guide on making the most of your conference interactions:

🤝 Booth Encounters: The Art of the Quick Hello

Let's start with the expo floor. Those booths represent significant investments by companies eager to showcase their products. My approach?


  • Keep it brief and respectful

  • Grab a business card if you're interested

  • Remember: This isn't the time to pitch your own services


Pro tip: If a product genuinely interests you, schedule a follow-up call. The noisy expo floor isn't ideal for deep dives.

👋 Hallway and Social Space Interactions: The Power of a Quick Connect

These chance encounters are the spice of conferences. But remember, everyone's on a tight schedule.


  • A quick introduction and card exchange is a win

  • Commit to following up post-conference

  • Keep it light and friendly – you're building a foundation for future interactions


☕ Coffee/Drinks Meetings: Where the Magic Happens

This is where I focus a lot of my energy. These informal settings are golden opportunities for building real connections.


  • Aim for 20% business, 80% getting to know them personally

  • Discover what truly matters to them beyond work

  • Trust me, the business will follow if you genuinely connect


🛋️ Sit-Down Meetings: Focused Value Exchange

These 15-30 minute sessions are your chance to shine. Whether you're pitching or being pitched to:


  • Focus on conveying value and problem-solving

  • Use visual aids if needed, but be mindful of your time

  • Avoid handing out materials – offer to send follow-up emails instead

  • End with clear next steps


🍽️ Conference Dinners: The Sacred Hours

These are reserved for your VIPs – key partners, close industry colleagues, and important connections.


  • Use this time to deepen relationships

  • Learn more about their broader goals and challenges

  • Avoid hard selling – focus on how you can be a true partner and help them


📵 The No-Business Zone: A Refreshing Approach

Some of my most valued industry relationships started with a "no business talk" rule. It's refreshing and builds genuine connections.


  • Focus on shared interests outside of work

  • Be authentic – people can sense when you're genuinely interested

  • Trust that business opportunities will naturally follow strong personal connections


Remember, the key to successful conference networking isn't about how many cards you collect or pitches you make. It's about forming genuine connections and providing value in every interaction.


As you head into your next conference, think about how you can tailor your approach to each of these settings. Be respectful of others' time and investments, focus on building real relationships, and always look for ways to add value.
